Global Wildlife Fair 2025 Volunteer Guidelines and Terms & Conditions
1. General Conduct
- Volunteers must conduct themselves in a professional manner at all times, adhering to the values and mission of the Global Wildlife Fair 2025.
- Volunteers are expected to maintain a positive and respectful attitude towards all attendees, staff, and fellow volunteers.
2. Attendance and Punctuality
- Volunteers are required to report to their designated areas at the specified times. Punctuality is crucial for maintaining the event schedule.
- In the event of an unavoidable delay or absence, volunteers must notify the Volunteer Coordinator as soon as possible.
3. Uniform and Identification
- Volunteers must wear the provided uniform and identification badge at all times while on duty to ensure visibility and easy identification.
- Uniforms must be kept clean and presentable throughout the event.
4. Role and Responsibilities
- Volunteers must perform their assigned duties as outlined in their role descriptions. Any deviation from assigned roles must be approved by the Volunteer Coordinator.
- Volunteers must seek guidance from the Volunteer Coordinator for any tasks not covered in their role description.
5. Confidentiality and Data Protection
- Volunteers must maintain confidentiality regarding all personal, financial, and organizational information obtained during their service.
- Volunteers must not disclose any sensitive information related to the Global Wildlife Fair or its participants.
6. Health and Safety
- Volunteers must adhere to all health and safety protocols established for the event. This includes wearing appropriate personal protective equipment (PPE) where required.
- Volunteers should report any safety concerns or incidents to the Site Team immediately.
7. Use of Personal Devices
- Personal devices such as mobile phones should be used minimally and only when necessary during volunteer shifts. Use of personal devices for non-event-related activities should be avoided.
8. Alcohol and Substance Use
- The use of alcohol or illegal substances is strictly prohibited while on duty. Volunteers must not be under the influence of any such substances during their shifts.
9. Harassment and Discrimination
- Volunteers must treat all individuals with respect and dignity. Any form of harassment, discrimination, or inappropriate behavior will not be tolerated.
- Volunteers should report any incidents of harassment or discrimination to the Volunteer Coordinator immediately.
10. Intellectual Property
- Volunteers acknowledge that any content, including but not limited to photographs, videos, and written material created or gathered during the event, remains the property of the Global Wildlife Fair.
- Volunteers grant the Global Wildlife Fair the right to use, reproduce, and distribute any such content for promotional and informational purposes.
11. Liability and Insurance
- Volunteers are covered under the event's insurance policy for any injuries sustained while performing official duties. Personal health insurance is the responsibility of the volunteer.
- The Global Wildlife Fair is not liable for any personal property loss or damage incurred by volunteers during the event.
12. Termination of Volunteer Agreement
- The Global Wildlife Fair reserves the right to terminate a volunteer's participation at any time if they are found in violation of these guidelines or if their conduct is deemed unsatisfactory.
- Volunteers may withdraw from their role by providing written notice to the Volunteer Coordinator. Notice should be given as early as possible to allow for proper adjustments.
13. Feedback and Complaints
- Volunteers are encouraged to provide feedback on their experience. Feedback forms will be made available post-event.
- Any complaints or issues should be reported to the Volunteer Coordinator promptly. All complaints will be handled with due consideration and confidentiality.
14. Agreement to Terms
- By signing the volunteer registration form, volunteers acknowledge that they have read, understood, and agree to abide by these guidelines and terms and conditions.
15. Amendments to Guidelines
- The Global Wildlife Fair reserves the right to amend these guidelines and terms and conditions at any time. Volunteers will be notified of any changes in writing.
